Why you got that email
Instaform sends two kinds of email. Service emails are about your own account and the responses your forms collected. Marketing emails are tips and offers. This page says what sets each one off, how often it can arrive, and what actually stops it.
Which email did you get?
Your forms are close to this month's limit
- Sent when
- Your forms have collected most of the responses your plan includes for the month. The email states the count and the limit it is measured against.
- How often
- Once per billing period, however long you sit near the limit.
- What stops it
- Moving to a plan whose limit you are not near. It also stops on its own when the period resets.
You reached this month's limit
- Sent when
- A response arrived after your plan's limit for the month, so it is being held rather than shown. Nothing was turned away: the person who filled in your form saw the normal thank you screen and nothing looked broken on their side.
- How often
- Once per billing period, on the first held response.
- What stops it
- Upgrading opens every held response at once. The period resetting stops new ones being held.
Held responses are about to be deleted
- Sent when
- Responses that have been held are nearing the end of the window we keep them for. The email names how many there are and the exact date.
- How often
- At most once a week, and only while some are still at risk.
- What stops it
- Opening them, which upgrading does. Once nothing is held there is nothing to warn about and the email stops.
Your trial is ending
- Sent when
- Your trial is a few days from its end date. The email names the date and what changes on it.
- How often
- Once per trial.
- What stops it
- Subscribing or cancelling. Either one ends it straight away.
Your best week yet
- Sent when
- The week that just finished collected more responses than any week before it on your account.
- How often
- At most once a week, and only when a record is actually beaten.
- What stops it
- This is the one marketing email in the set, so turning off product tips and offers stops it.
What you can turn off, and what you cannot

One switch, in Settings under Account. It applies to the next email we send. Turning it off changes nothing on the list above except the best week note.
Open your email preferencesService emails: no
There is no opt-out link on a service email and we would rather say so than imply one. Adding it would mean the message telling you your leads are locked could be switched off, and that is the message you would most want to arrive. These are notices about your own account and your own data, and they carry no marketing.
Reporting one as spam stops everything
If you mark an Instaform email as spam, or your address stops accepting our mail, we stop sending to that address entirely, service emails included. That is a delivery rule rather than a preference, so we cannot switch part of it back on. Write to us instead and we can sort it out properly.
Who gets these
Emails about limits, held responses and billing go to the account owner and to nobody else. Team members do not receive them, because changing a plan is not something they can do.
Clicking a link never changes what you receive
These emails start and stop on what your account is doing, never on whether you opened or clicked one. Company mail filters visit every link in a message before anyone reads it, so treating a click as an answer would quietly stop mail for exactly the people who need it.
How long held responses are kept
Held responses are stored for a set window and then permanently deleted. The warning email names the exact date for your account, and the retention section of our privacy policy states the window.

Then somebody has probably typed your address into a form or a signup by mistake. Tell us and we will remove it. You will not be asked to sign in first.
