Most surveys collect data nobody acts on, because they were designed around what the team wanted to know rather than what it could decide. Before writing a question, write the sentence you expect to say afterwards: 'if most people answer X, we will do Y.' Any question that does not complete that sentence is costing you responses without earning anything.

Length is the main lever on completion. Response rates fall sharply past about eight questions, and the drop is steepest on mobile, where most survey traffic now arrives. If you have twenty questions, run three short surveys over a quarter instead — you will get more total answers and each round can react to the last.

Mix question types deliberately. Scales give you something to trend; open text tells you why the number moved. A survey that is all scales produces a dashboard nobody can explain, and one that is all open text produces a pile of reading nobody finishes. Two or three scales plus one well-placed open question is usually the right shape.

Instaform aggregates scale answers as they arrive, so distributions and averages are visible without exporting anything, while open responses stay attached to the Contact who wrote them. That matters when a score drops: you can read the specific comments from the specific people whose answers moved, instead of guessing at the cause from a chart.

FAQ

How long should a survey be?
Under eight questions for most audiences. Completion falls sharply past that, and fastest on mobile. Three short surveys across a quarter beat one long one, and each round can respond to what the last found.
Should I use rating scales or open text?
Both, deliberately. Scales give you something to trend over time; one open question tells you why the trend moved. All-scale surveys produce charts nobody can explain.
How do I get more responses?
Ask fewer questions, say up front how long it takes, and send it from a person rather than a brand. Explaining what changed because of the last survey does more for the next response rate than any incentive.
Can I see results without exporting to a spreadsheet?
Yes. Scale answers are aggregated as they arrive and open responses stay attached to the person who wrote them, so you can read the comments behind a score change directly.
