Who this template is for

Wedding photographers, portrait photographers, family and newborn shooters, brand and commercial photographers, and event photographers use this template as the "book me" form on their portfolio site, the link in their Instagram bio, and the form at the bottom of every reel that ends with "link in bio." It captures the seven things every photographer actually needs to write a quote — shoot type, preferred date, location, estimated duration, the client's vision, and the budget range — so you skip the four-email back-and-forth before you can quote. Each inquiry creates a Contact in your CRM Cubby tagged with the shoot type and budget, so when ten inquiries land in a week you can see at a glance which three are in your sweet spot.

How it filters out the mismatches

Each inquiry creates a Contact in your CRM Cubby tagged with the shoot type (wedding / portrait / event / brand / family / newborn) and the budget range. Filter inquiries by your already-booked dates to skip the ones you can't shoot anyway. Filter by budget range to set aside the out-of-scope briefs with a kind "I'm not the right fit, here are some photographers I'd recommend" template reply. The "vision" field attaches as a Note on the Contact so you have the client's actual references when you sit down to write the quote. Qualified inquiries become Deals in your pipeline: Inquiry → Consultation Scheduled → Booking Confirmed → Editing → Delivery. The same Contact carries forward through editing, gallery delivery, and the post-shoot referral ask.

Photographers using this template

  • Wedding photographers

Filter by date to spot the ones that conflict with already-booked weekends; the vision and venue fields tell you whether the style fits before the consult call.

  • Portrait and family photographers

Headshot, family, senior, branding portraits — capture session length, location, and outfit notes from the start.

  • Newborn and maternity photographers

Capture due date, location preference (studio vs. home), and props/style notes alongside the budget.

  • Brand and commercial photographers

Product, lifestyle, and editorial briefs — capture deliverables, usage rights, and shoot duration before quoting per-shot or day-rate.

  • Event and corporate photographers

Conferences, parties, and corporate events — capture date, venue, and required deliverables (highlights vs. full coverage).

  • Real estate and architecture photographers

Property type, square footage, and target listing date in one form — replace the email back-and-forth before the agent calls.

Customization notes

Most photographers add a mood-board upload field so the client can attach Pinterest screenshots, a referral-source field ("how did you find me?") for marketing attribution, and a couple-name or business-name field that becomes part of the Contact record. For weddings, add a destination/elopement checkbox and a getting-ready-location field. For commercial photographers, swap the budget select for a deliverables checklist (number of edited images, usage rights, license duration). Many photographers also link the consultation booking through Calendly or Cal.com — paste the scheduling URL into the form's confirmation page.

Frequently asked questions

Yes. Every Instaform template is free on every plan, including the Free tier. No per-inquiry fees, no premium tier.
Both become tags on the Contact record, so your CRM Cubby is sortable by date availability and budget range. The first thing you do each morning is filter for inquiries that match your open dates AND budget. Out-of-scope inquiries get a kind template reply; mismatched-date inquiries get an honest "we're booked that weekend, here's our next opening." You stop wasting two days a week on inquiries that were never going to book.
Yes. Add a file-upload field in the editor that accepts JPGs, PNGs, and PDFs. Uploaded mood boards attach to the Contact record, so when you write the quote you have the client's actual aesthetic references one click away — no "can you re-send the photos you mentioned?" follow-up needed.
Two ways: (1) Use Instaform as the inquiry capture and your CRM, and link the consultation booking on the confirmation page to Calendly / Cal.com. (2) Use Instaform as the inquiry capture only, and webhook qualified Contacts into HoneyBook or Dubsado as new leads. The first approach keeps everything in one tool; the second works if you've already invested in HoneyBook's contracts and proposals.
Yes — English, Spanish, and Brazilian Portuguese. Your clients see the form in their preferred language; your CRM stores every inquiry with the original locale attached for follow-up sequences in the right tongue.
